BRIEF:

Covidien (UK) Commercial Limited, a leading global provider of healthcare products, initially approached i2e for provision of their AV requirements for their annual National Sales Meeting.  Covidien had already booked the venue for their event, the Royal Marine Hotel in Dun Laoghaire, Ireland. The event was to run over three days, to include one day for presentation rehearsals, a two day conference for 150 staff, with a welcome dinner on the first night and a gala dinner finale.

i2e were also to provide presentation coaching and content management, and to work alongside the event manager to assist with event management requirements.

We were also required to produce three videos for use at the event. These videos were required to be around three minutes long and offer an overview of FY09 for the various departments. i2e were informed that these videos were required on the Friday before the start of the event on the Monday and these were being reviewed by senior management team on the Monday.

We had a tight turnaround of seven weeks from first meeting with the client to event date.

SOLUTION:

A site visit was first on the agenda.  An unconventional sized main meeting room complete with pillars led to the need for a bespoke design build for the set and stage.  Our site visit knowledge would also aid our choice for the location of rooms for the breakout sessions.

i2e project management included artwork and print for delegate badges and lanyards, hotel signage, gala dinner invites and menus;   hotel signage would be regularly changing over the three day event so stand alone touch screen pods and plasma screens were utilised in heavy footfall areas.  They were used to display not only signage and branding, but also daily agendas, floorplans, table plans, and other relevant information throughout the event.   i2e sourced and managed local suppliers, including a florist, photographer, live band for evening entertainment, linen company and coach transfers.

The essence of the two day meeting was to review the year ahead and reward those staff and regional teams for their achievements and performance over the last year.
 
The main meeting room was turned around each night for the welcome and gala dinners; seating was changed for each dinner from theatre to a banqueting layout.  For the welcome dinner, tables were kept simple with white linens and a striking flower centrepiece. An informal buffet dinner was followed by the evening’s entertainment “Who Wants to be a Millionaire”.  The stage set came alive, displaying the questions and answers. Each table, armed with an interactive pad, competed with the next to win some exciting prizes.

A glamorous Transatlantic Liner theme provided the backdrop for the Gala dinner, and the stage and tables were dressed appropriately. A silver box on each table contained dressing up items such as feather boas, headbands and top hats to get everyone in the party mood. A five piece swing band provided appropriate background music during the dinner, with a more upbeat live set following the evening awards.  The party atmosphere refused to be put out and carried on into the early hours of the morning.
